The balance sheet is one of our go-to tools when cleaning up messy books. It tells us the overall health of the business — what it owns, what it owes, and how it’s been managed.

Spotting Red Flags in the Balance Sheet

When reviewing the balance sheet, some problems stand out right away. For example:

  • Negative bank account balances: These usually mean an overdraft or a bookkeeping mistake. Bank accounts should almost always show a positive balance.
  • Unusual assets or liabilities: Accounts showing up in the wrong places can signal deeper issues.

A balance sheet should give a clear, accurate picture of the business’s finances. If it doesn’t, something is off.

Checking the Chart of Accounts

The chart of accounts is the backbone of your bookkeeping system. If it’s not set up correctly, every report will be wrong. During cleanup, we check:

  • Are accounts in the right category (asset, liability, equity, income, expense)?
  • Are balance sheet accounts accidentally being used in the Profit & Loss?
  • Are fixed assets, depreciation, loans, and equity recorded properly for the business type?

A well-structured chart of accounts makes your reporting accurate. A poorly structured one guarantees errors.

Why It Matters

If the foundation is wrong, the reports are wrong. That’s why at Akif CPA, we start by reviewing both the balance sheet and the chart of accounts. Together, they tell us whether the books were managed correctly and where we need to step in to fix them.
